Due to continued growth ENERCON is seeking a Contract and Procurement Administrator for our Kennesaw, GA location or other ENERCON office locations.
Responsibilities (including but are not limited to)
- Provide support to Operational groups in relation to the Purchasing and Contracts modules of ENERCON's ERP system based on the Unanet software. Unanet Experience is required.
- Ensure adherence to and compliance with internal Policies and Procedures, including but not limited to, the PM Manual and ERMAS job aids.
Contracts:
- Input of Client Contracts and Purchase Orders (PO) into the Unanet system, ensuring that all related documents are obtained in accordance with the contract and/or policies/procedures.
- Enter the Contract/PO funding into the system and allocate to billable projects as appropriate.
- Support Operating groups with unique Contract/PO funding allocation such as Contracts/POs that require multiple projects, or Contracts/POs issued to replace or add funds to previous Contracts/POs.
Purchasing:
- Input Subcontractor/Vendor Contracts (Subcontractor Service Agreement – SSA) into the Unanet system using the Purchase Requisition (PR) feature.
- Review and approve Purchase Orders (PO) being issued by ENERCON to Subcontractors/Vendors to procure services, materials, equipment and/or software.
- Coordinate with the Manager of Projects (MOP) and/or Accounting related to unique purchasing requirements on billable projects.
- Run reports related to purchasing/procurement as required to ensure Subcontractor/Vendor documents stored in the Unanet system are maintained and kept up-to-date.
- Run reports related to purchasing/procurement as required to report Diversity spend.
- Support Project Managers with development of Requests for Proposal (RFPs) to Subcontractors/Vendors. Receive Subcontract/Vendor Proposals and perform initial review to confirm compliance with the RFP requirements.
- Coordinate with ENERCON's Subcontractors/Vendors to obtain required and up-to-date vendor information such as certificate of insurance (COI), documents of safety record, W9 form, diversity certificates, and other documents that may be required to setup and approve the Subcontractor/Vendor.
Required Qualifications / skills
- Bachelor's degree plus 4 years of project-related experience
- Excellent working knowledge using Unanet software
- Outstanding demonstrated oral and written communication skills
- Self-starter with a "can-do" attitude that will thrive in a structure where high standards for quality and effectiveness are expected.
- Demonstrated organizational skills
- Ability to work well as part of a team and provide good customer service to internal/external clients, including ability to interact with employees at all levels, develop cooperative working partnerships.
- Skilled at dealing with people whether in person or in a remote environment.
- Possess the ability to thrive in a fast-paced, multi-tasking environment, love challenges and details, be resourceful, and have great organizational and time management skills
- Proficient in Microsoft Office applications (Word, Excel, PowerPoint, Access, and Outlook)
Preferred Qualifications / skills
- Advanced Skills in Excel (Pivot Tables / V & X Lookups)
- Previous experience in Contracts and/or Procurement
Employment requirement
Ability to pass a pre-employment and random drug and alcohol screenings, ENERCON and client-specific background checks, and annual motor vehicle record (MVR) according to company and client policies.
Must be legally eligible to work in the US without current or future sponsorship.
